Creating an invoice
How do I create an invoice?
Start a new invoice, choose the client you want to bill, add the line items, set the invoice and due dates, then send it.
Can I create an invoice from a proposal?
Yes.
Instead of entering everything again, convert the proposal into an invoice.
See Converting a Proposal into an Invoice for more details.
Can I use saved Favorites on an invoice?
Yes.
You can add saved services and snippets from Favorites.
Use Add favorite Snippets to insert reusable text or content blocks.
Dates and payment terms
What dates does an invoice need?
An invoice needs:
An invoice date
A due date
The due date is required before the invoice can be saved.
Can I use standard payment terms?
Yes.
Available payment terms include:
Net 15
Net 30
Net 45
Net 60
End of month
On receipt
Choose a payment term and Duranta calculates the due date.
Taxes
How do I add tax to an invoice?
Open the tax rate settings and select Set rate.
Then mark the appropriate line items as Taxable.
You can also use:
Make all items taxable
Remove all taxes
Why does Duranta say Tax is required?
At least one line item is marked Taxable, but no tax rate has been set.
Set a tax rate or remove the taxable setting from those line items.
Why does the tax rate list say no QBO tax codes are available?
If you see:
No QBO tax codes available. Refresh tax rates in your integration settings.
your QuickBooks Online tax rates have not been imported yet.
Refresh the tax rates in your integration settings.
Sending invoices
How do I send an invoice?
You can either:
Select Send email via Duranta
Select Copy link and share the invoice yourself
Your client can open the invoice link on any device.
Can I send an invoice to more than one person?
Yes.
Add an additional recipient before sending the invoice.
Can I see how an invoice was shared?
Yes.
The activity log records invoice activity, including when a client opens an invoice Via copied link.
Invoice statuses
What do the invoice statuses mean?
Status | Meaning |
Draft | The invoice has not been sent yet |
Upcoming | Scheduled but not yet issued |
Pending | Sent but not yet opened or paid |
Opened | The client has viewed the invoice |
Partially paid | Part of the balance has been paid |
Paid | The balance has been paid in full |
Overdue | The due date has passed and a balance remains |
Can I filter invoices by status?
Yes.
The invoice list can be filtered by:
Draft
Paid
Overdue
Getting paid
How can clients pay an invoice?
If payments are enabled for your workspace, clients can pay online directly from the invoice link.
What if the client pays me outside Duranta?
Use Record Payment.
Available payment methods include:
Credit Card
Check
Cash
Wire/ACH
Duranta updates the invoice and adds the payment to the activity log.
Can I record a partial payment?
Yes.
If only part of the invoice is paid, its status changes to Partially paid.
Once the remaining balance is paid, the invoice moves to Paid.
Can I edit a payment I recorded?
Yes.
When a recorded payment is changed, the activity log shows Payment modified.
Why does my client see a payment processing message?
They may see:
Your payment was successful, but it is still being processed. Please check back in a few minutes.
The payment has been submitted, but Duranta is still waiting for the final status to update.
If another payment is already being processed, Duranta may show:
A payment is being processed — please wait a moment before paying online.
What should I do if the client sees a payment error?
Ask them to refresh the page and try again.
If the problem continues, contact [email protected] and include the invoice link.
Recurring invoices
Can Duranta create invoices automatically?
Yes.
Select Make recurring and choose a Frequency:
Daily
Weekly
Monthly
Yearly
How do I change a recurring invoice?
Use Edit Recurring Invoice Template.
Changes to the template apply to future invoices created from it.
QuickBooks Online
Can I sync an invoice to QuickBooks Online?
Yes, when the QuickBooks Online integration is connected.
Select Sync to QBO on the invoice.
After syncing, Duranta shows:
Synced to QBO
The sync date
The QBO document ID
What happens if I edit an invoice after syncing it?
Duranta marks the invoice as out of sync.
Select Resync to QBO to update QuickBooks with the latest invoice information.
Why did my QuickBooks sync fail?
Duranta displays a message explaining what needs to be fixed.
