Creating and sending invoices in the web app

Learn how to create an invoice in the Duranta web app, add items, fees and tax, send it to your customer, and track when it's opened and paid.

You can create an invoice from scratch or start it from one of the customer's estimates. This article walks through every step: starting an invoice, adding items, fees and tax, sending it and tracking it. For a short version, see Creating your first invoice in the web app.

Start a new invoice

On Home, under Create new, select Invoice. You can also select Create, then Invoice, in the sidebar, or open Invoices and select Create invoice.

Choose the client

Under Client, select Choose a client and type the client's name. Select an existing client, or select A new lead named… to create one.

If the client has estimates, Duranta asks whether to start the invoice from one of them. Select an estimate to copy its services and prices into the invoice, or select Skip — start from a blank invoice.

💡 The services are copied, so editing the invoice doesn't change the estimate.

Check the details

Check the Invoice date and the Due date, for example On receipt. Turn on Make recurring to create the same invoice on a schedule.

Let customers pay online

If your Duranta Payments account is set up and can accept payments, Details also shows Allow direct payments. It's on by default, so your customer can pay the invoice online from the invoice link. Turn it off for an invoice your customer will pay another way, for example by check.

When your customer opens the invoice link, they see Pay this invoice online. They enter their email, choose a payment method and select Pay. Duranta records the payment on the invoice for you.

To turn on online payments, see Setting up Duranta Payments in the web and mobile apps. To record a payment you received another way, see Recording a payment in the web app.

Add items

Select Add item and type the item name. Choose a suggested service from your Favorites, or select Create to add your own.

Check the details:

  • Price and Pricing: a flat price, or a price per unit such as per hour.

  • Service date (optional): the day you did the work.

  • Taxable: turn it on if tax applies to this item.

  • Description (optional): text to show on the invoice.

Select Add.

Add fees, tax and notes, then save

Select Add fee for a fee or discount, and Set rate to add tax.

Under Customer notes, add anything else you want your customer to see, such as a thank-you message, payment instructions or a photo of the finished job:

  • Add text or image: choose Add text to type a note, or Upload image to add a picture.

  • Add favorite Snippets: choose one of your Saved snippets to add its text and images. You create snippets in Favorites → Proposals.

Each note is added as its own block. Select a block to edit its text, or select the trash icon next to it to remove it.

Select Save.

Your invoice is saved as a Draft. It hasn't been sent yet.

Preview and send the invoice

Select Preview to see the invoice as your customer will.

When it's ready, select Share and choose:

  • Send email via Duranta: Duranta emails the invoice to your customer. Choose the recipients, add an optional message and select Send.

  • Copy link: copies a link you can paste into a text message, your own email or anywhere else.

Either option publishes the invoice, so your customer can open it and pay online from any device.

Track the invoice

Activity on the right shows when the invoice was created, sent, opened and paid. To record a cash, check or bank transfer payment, select Record Payment.

The invoice status changes as it moves along:
