Signature and customer choice on proposals

Learn how to require customer signatures on proposals, let customers choose which service blocks to purchase, review their selections, and use approved services for invoices and work orders.

Two proposal settings control what your customer can do when they open a proposal:

  • Require a signature before approval

  • Let the customer choose which parts of the proposal they want to purchase

Both settings are off by default and can be configured for an individual proposal or a proposal template.

Both settings are available in the Configure sheet:

  • On Review & send for an individual proposal

  • In Favorites → Edit proposal template for a template

The settings appear in this order:

  1. Signature

  2. Customer choice rules

  3. Install details

  4. Subtotals

A template passes these settings to new proposals created from it.

After the proposal is created, its settings are independent. Changing the proposal does not change the template, and later template changes do not affect existing proposals.

Require a customer signature

Turn on Require the customer to sign when approving.

When enabled, the customer must provide a signature before approving the proposal.

How the customer signs

Signing happens in the customer's web browser from the proposal link you send.

The Signature section gives the customer two options:

  • Draw — sign with a finger, stylus, or mouse

  • Type — Duranta creates a script-style signature from the name entered in Your name

When using Draw, a clear button appears after the customer starts signing so they can erase the signature and try again.

On phones and tablets, the signature section opens on Draw.

On desktop, it opens on Type.

View the completed signature

After the proposal is approved, the signature is saved with the approved proposal.

Open the approved document to see:

  • The signature

  • The signer's name

  • Signed

  • The date and time

Let customers choose what to purchase

Turn on Customer can purchase individual services to let customers approve only the parts of the proposal they want.

How customer choice works

A checkbox appears beside each Services & Pricing block.

Every block starts selected. The customer can clear the checkbox for any block they do not want before approving the proposal.

The choice is made per block, not per individual service.

For example, if one Services & Pricing block contains five services, the customer must accept or decline the entire block.

If you want services to be purchased separately, place them in separate Services & Pricing blocks.

Use more than one Services & Pricing block

Customer choice requires more than one Services & Pricing block.

With only one block, there is nothing to choose between, so the proposal remains all-or-nothing even when Customer can purchase individual services is enabled.

Proposal totals do not change while the customer chooses

The displayed proposal total does not update when the customer deselects a service block. Their selections are recorded when they submit the approval.

When customer choice is available, the approval checkbox reads:

I approve the selected services

instead of:

I approve this proposal

Services outside a Services & Pricing block

Services that appear outside a Services & Pricing block do not have a selection checkbox.

They are always included in the approval.

Review the customer's response

When a customer responds, Duranta sends email notifications.

For a partial approval, the email lists the services the customer selected under Approved services.

If the customer leaves a comment without approving, you also receive an email and push notification on the mobile app about the comment.

View proposal activity

Open the proposal's options menu and select View activity.

On the web, the history opens in a dialog. In the mobile app, it opens in a sheet.

The activity history can include:

  • Published

  • Opened by the customer

  • Approved

  • Commented

  • Marked unapproved

The newest activity appears first, and each entry includes a link to the proposal version where it happened.

The activity feed shows the number of approved services rather than their names.

On the web, the proposals table also shows a comments badge in the Status column when a customer has left a note.

See exactly what the customer approved

Open the approved proposal document from:

  • The version link in View activity

  • The approved proposal banner

The Services & Pricing checkboxes appear exactly as the customer submitted them:

  • Checked for the blocks they approved

  • Unchecked for the blocks they declined

To view it, click View Activity and select the latest version.

Create an invoice from a partial approval

When you create an invoice from a partially approved proposal, only the approved services are added to the invoice draft.

Declined Services & Pricing blocks are left out.

On the web, creating a work order from the proposal follows the same behavior.

After a proposal is approved, invoices and work orders are created from the approved version of the proposal rather than the current draft.

If you edit the proposal afterward, those edits do not change what is transferred to the invoice or work order.

To change the approved work, publish a new proposal version and have the customer approve it again.
