Recording a payment in the web app

Learn how to record a cash, check, card or bank transfer payment on an invoice in the Duranta web app, record a partial payment and edit a payment you recorded.

Use Record Payment when a customer pays you outside Duranta, for example with cash, a check or a bank transfer. Duranta updates the invoice's balance and status.

Record a payment

1. Open the invoice from Invoices.

2. Select Record Payment. You can also choose Record Payment from the invoice's ... menu on the Invoices page.

3. Check the Amount. It starts at the remaining balance. For a partial payment, enter the amount you received.

4. Check the Date and choose the Payment method: Cash, Check, Credit card or Wire/ACH.

5. Add any Notes, such as the check number, then select Record.

💡 If the amount is more than the remaining balance, Duranta shows Overpayment detected and asks you to confirm before recording it.

What happens next

The invoice shows the new balance. When part of the amount is paid, its status changes to Partially paid. When the balance reaches zero, it changes to Paid.

The payment is listed under the total, for example Payment on Oct 29, 2026, and Activity shows an entry such as Check payment recorded for $150.00 with your note. Your customer sees the payment and the remaining balance when they open the invoice link.

Edit a recorded payment

In Activity, select the payment. In Update payment, change the amount, date, payment method or notes, then select Update. Activity shows Payment modified.

Payments made online

When a customer pays through the invoice link with Duranta Payments, the payment is recorded for you, so you don't need to record it. See Setting up Duranta Payments in the web and mobile apps.
