Creating your first invoice in the web app

Learn how to create your first invoice in the Duranta web app, add items, send it to your customer, and track when it's opened and paid.

You can create an invoice from scratch or start it from one of the customer's estimates. This article shows how to start an invoice, add items, save it and send it.

Start a new invoice

On Home, under Create new, select Invoice. You can also select Create, then Invoice, in the sidebar, or open Invoices and select Create invoice.

Choose the client

Under Client, select Choose a client and type the client's name. Select an existing client, or select A new lead named… to create one.

If the client has estimates, Duranta asks whether to start the invoice from one of them. Select an estimate to copy its services and prices into the invoice, or select Skip — start from a blank invoice.

💡 The services are copied, so editing the invoice doesn't change the estimate.

Check the details

Check the Invoice date and the Due date, for example On receipt. Turn on Make recurring to create the same invoice on a schedule.

Add items

Select Add item and type the item name. Choose a suggested service from your Favorites, or select Create to add your own.

Check the details:

  • Price and Pricing: a flat price, or a price per unit such as per hour.

  • Service date (optional): the day you did the work.

  • Taxable: turn it on if tax applies to this item.

  • Description (optional): text to show on the invoice.

Select Add.

Add fees, tax and notes, then save

Select Add fee for a fee or discount, and Set rate to add tax. Under Customer notes, add text, an image or a saved snippet.

Select Save.

Your invoice is saved as a Draft. It hasn't been sent yet.

Preview and send the invoice

Select Preview to see the invoice as your customer will.

When it's ready, select Share and choose:

  • Send email via Duranta: Duranta emails the invoice to your customer. Choose the recipients, add an optional message and select Send.

  • Copy link: copies a link you can paste into a text message, your own email or anywhere else.

Either option publishes the invoice, so your customer can open it and pay online from any device.

Track the invoice

Activity on the right shows when the invoice was created, sent, opened and paid. To record a cash, check or bank transfer payment, select Record Payment.

The invoice status changes as it moves along:
