Create work orders, make them repeat, assign crews and see every crew's day, week and month from your phone. Work orders are the same ones you see on the web.
Where it lives
Scheduling is the third tab along the bottom of the app, with a calendar icon, between CRM and Invoices.
At the top are three tabs:
Work orders: every job, with a count of what's showing.
Routes: each crew's day on a map and as a list. See Routing in the mobile app.
Calendar: day, week and month views.
The header also has a + button for creating things and, on the Work orders tab, a search button.
What a work order is
A work order is one visit to one property: who it's for, where, when, how long, which crew, and what they're doing.
Create a work order
Tap + in the Scheduling header and choose Work order. You can also tap + Create in the bottom bar, or Create new on the Home screen, and choose Work order.
Tap Client and choose the client.
Duranta asks "Would you like to start the work order from one of this customer's proposals?" Tap Select next to an approved proposal to bring in its property, the services the customer approved, and its schedule. To start from scratch instead, tap Create on the Skip — start from a blank work order row.
Under Location, select the property. New adds a property that isn't in Duranta yet.
Set the Work order date, Work order time and Job duration. The duration starts at 30 minutes; tap it to choose an amount and a unit: minutes, hours, days, weeks or months.
Choose a Status. New work orders start as Scheduled.
Add services with + Service, a crew with + Crew, materials with + Material, and anything else under Notes: text, an image or a snippet.
Tap Save.
Save stays greyed out until the work order has a client and a property.
Creating a work order from the Calendar fills in the day you were looking at.
The number at the top, WORK ORDER #, is filled in for you. Tap it to change it.
Services, crew and materials
+ Service: pick from your services, or type a name for a one-off. Each service's ⋯ menu edits, duplicates or deletes it.
+ Crew: one crew per work order. Pick an existing crew, or type a new name to create one on the spot. The crew card lists its members and equipment; tap it to edit the crew, or the trash icon to remove it.
+ Material: pick from your catalog, or name a one-off material and set its price.
Recurring work orders
Turn on Make recurring when you create the work order; it can’t be turned on or off later. The date row is replaced by a Schedule card; tap it to open the schedule.
In the Schedule sheet:
First work order date: when the series starts.
Frequency: Daily, Weekly, Biweekly, Monthly, Yearly, Custom or Calendar.
End date: filled in 364 days after the first date. A series can have up to 365 visits, so how far out the end date can go depends on the frequency: about a year for a daily job, around seven years for a weekly one. You can change the end date, but you can't remove it.
The schedule is written back as a sentence, for example "Work orders are scheduled every 2 weeks, starting 14 April. The schedule ends on 13 April."
Custom: Repeat every a number of days, weeks or months. With weeks, tap the days under On these days: "every week on Mon, Wed, Fri" is one recurring work order.
Calendar: for work with no pattern. Tap Add date for each visit; the trash icon removes one. Add at least one date, and up to 365.
Monthly on the 29th, 30th or 31st: in shorter months the visit lands on the last day of the month instead.
If you change the frequency and the end date no longer fits in 365 visits, Duranta moves it to the last visit that does. Starting from a proposal whose schedule runs longer, you’ll see "End date shortened to fit 365 visits."
The status you choose applies to the first visit, shown as First work order status. Every later visit is created as Upcoming.
When you save, Duranta creates every visit in the series at once, so they all show in the list and on the calendar straight away. Creating a recurring work order needs an internet connection.
To change how an existing series repeats, edit its recurring template.
Edit one visit or the whole series
On a visit in a series, Edit asks which you mean:
Edit work order: just this visit.
Edit recurring template: the series from here on. The recurring template is the schedule and details every visit in the series is made from.
Saving the recurring template rebuilds the upcoming visits: "Upcoming visits are rebuilt from the series. Changes made to individual upcoming visits will be replaced."
End a series
Open a visit, tap Edit, choose Edit recurring template, then turn on End series, just under the Schedule card. "The series ends on 20 May. Later visits are removed and no new ones are created. Past visits are unaffected." If the next visit is scheduled or upcoming, choose Skip this visit too or Keep this visit.
Find work orders
The Work orders tab opens on this month's jobs. Each row shows the client, then the property, date and time, plus the crew (or Unassigned in orange) and the status.
Above the list:
This month, All, Today and Unassigned: quick filters. Tap All to see every job, past and future.
The sliders button opens Sort & filter. An orange badge counts the filters that are on.
Search in the header finds work orders by address, title, client or crew.
In Sort & filter:
Sort by Service date, Start time, Client name, Property or Last updated, ascending or descending.
Status, each with a count.
Assigned crew.
Client name, with a search box.
Recurring: One-time or a frequency.
Service date: Today, This week, This month, Year to date, or Custom to set your own From and To.
Tap Apply to filter, or Reset to clear every filter, including the date.
A client's work orders also appear on their page in CRM, under Work orders. Tap See all for the full list.
Open a work order
Tap a work order to open it. At the top are its status, client and address, and these buttons:
Edit
Preview: the customer-facing version.
Share: see below.
Assign or Reassign: the crew.
Start job: on an upcoming visit, sets it to In progress.
Below that are a Map button, its latest activity (See all activity for the full log) and the details: date, start time, duration, services, materials, crew (members with the Lead marked, and equipment) and notes.
Tap Client or Property to see that client's or property's other work orders.
The ⋯ menu at the top right has View customer, View proposal, Convert to invoice, View converted invoice once there is one, Change status and Delete.
Editing a work order that is already in progress, completed or invoiced asks for an optional Modification Note, so others can see why it changed.
Quick actions from the list and calendar
Tap the ⋯ on a row in the list, or long-press a job's tile on the calendar:
Edit work order and View proposal
Assign or Reassign
Skip this visit: on a scheduled or upcoming visit in a series
Convert to invoice, and View converted invoice once there is one
Delete
Skip this visit passes over one visit and the series carries on. A skipped visit stays on its crew's route, marked Skipped.
To cancel a visit, open it and choose Change status → Canceled. A canceled visit also stays on its route, marked Canceled.
Delete can't be undone.
To move a job to another day or time, use Edit, or change Starts on its stop card in Routes.
Statuses
Status | Meaning |
Scheduled | Dated, ready to go |
Upcoming | A future visit in a recurring series |
In progress | Being worked now |
Completed | Done |
Invoiced | Billed: the invoice has been sent |
Canceled | Called off |
Skipped | This visit passed over; the series continues |
Work on several at once
Tap Select, or long-press a row, to choose several work orders. Select all picks everything showing. The bar at the bottom offers:
Assign (or Reassign) a crew. Assigning a crew on a day they have no route creates the route.
Change status.
Convert to invoice: across several clients, choose Merge into 2 invoices (one per client) or Create 3 separate invoices, then Convert.
Delete: the confirmation tells you how many are on routes.
Tap Done when you're finished.
Share a work order
Share opens Publish & Share. Choosing an option publishes the work order and creates a link your customer can open on any device:
Text: opens a message to the client with the link.
More apps: your phone's share sheet.
The calendar
Switch between Day, Week and Month at the top. The arrows step back and forward; tap the date to jump to any day, or Today to come back.
Month: the month grid, with a marker on days that have work. Tap a day to see its jobs below.
Week: the week day by day, each with its job count.
Day: the chosen day's jobs.
A day's jobs are grouped:
Unassigned: jobs that need a crew, marked Needs a crew.
One section per crew route, in the route's color, with its number of stops and total time. A crew with no route that day shows No route this day.
Blocked time for All crews sits at the top.
Tap a job's tile to open the work order. Long-press the tile to open the quick actions menu: Edit work order, Assign, Convert to invoice, Delete and more.
Block time
Time that isn't a job: lunch, a fuel stop, shop time.
Tap + in the Scheduling header and choose Block time.
Enter a Title, the Date, Start time and End time.
Under Crew, tap + Crew and choose the crews it applies to, or All crews. Only crews with a route that day are listed.
Save.
To change or remove a block, long-press its tile on the calendar, then choose Update or Remove. A block shared by several crews changes for all of them.
Scheduling on the web
The web adds dragging jobs around the day and week calendar, a Reschedule dialog and column filters on the work order table. See Scheduling: Work Orders and the Calendar.
