Scheduling in the mobile app: FAQ

Find answers to common questions about work orders, recurring visits, statuses and the calendar in the Duranta mobile app.

I can't see the Scheduling tab.

Scheduling is turned on per company. If it's missing from the bottom tab bar, email [email protected] and we'll turn it on for your company.

Where can I create a work order?

From + in the Scheduling header, from + Create in the bottom bar, or from Create new on the Home screen. Choose Work order in each.

Why don't I see older work orders in the list?

The Work orders list opens on this month. Tap All to see every job, or set a Service date in Sort & filter.

Is a work order made in the app the same as one made on the web?

Yes. It's one work order, visible and editable in both.

Why is Save greyed out?

A work order needs a client and a property before it can be saved. For a Calendar schedule it also needs at least one date.

Why can't I change the client or property on a work order?

They're fixed once the work order is created. Create a new work order for a different client or property.

Where did these services and dates come from?

You started from one of the client's approved proposals. Duranta copies in the services the customer approved and the proposal's schedule. Change any of it before saving, or start from a blank work order instead.

Can a work order have more than one crew?

No, one crew per work order. Put everyone going on the job into that crew.

Can I see a client's work orders from their CRM page?

Yes. Open the client in CRM and look under Work orders. See all opens the full list.

Why does editing a finished work order ask for a note?

Changing a work order that's in progress, completed or invoiced asks for an optional Modification Note, so the reason for the change is kept with it.

How do I change a work order's status?

Open the work order and choose Change status from the ⋯ menu at the top right. To change several at once, select them in the list and tap Change status.

Why is there no Start job button on this work order?

Start job appears on upcoming visits. For other work orders, use Change status and choose In progress.

What does Invoiced mean, and why didn't it change when I converted to an invoice?

Invoiced means the invoice for the work has been sent. Converting creates a draft; the work order moves to Invoiced when that invoice goes out.

Why is there already an end date on my recurring work order?

Duranta fills one in, 364 days after the first visit. You can change it to an earlier or a later date, but you can't remove it. A series can have up to 365 visits, so how far out it can go depends on the frequency: about a year for a daily job, around seven years for a weekly one. To keep the work going after that, edit the recurring template later and move the end date out again.

I picked the 31st. What happens in February?

The visit is scheduled on the last day of the month instead. No visit is dropped for being at the end of a month.

What status do the later visits get?

The first visit takes the status you choose; every visit after it is created as Upcoming. All the visits are created as soon as you save.

How do I make a job repeat on Monday, Wednesday and Friday?

Choose Custom, repeat every 1 week, and pick Mon, Wed and Fri under On these days. That's one recurring work order, not three.

Why can't I turn Make recurring on or off for an existing work order?

Whether a work order repeats is set when it's created. To change how a series repeats, edit its recurring template. To stop it, end the series.

When I edit one visit, does it change the whole series?

Only if you choose to. Edit asks whether you mean Edit work order (just this visit) or Edit recurring template (the series). The recurring template is the schedule and details every visit in the series is made from. Saving the template rebuilds the upcoming visits, so changes you made to individual upcoming visits are replaced.

How do I end a series?

Open a visit, tap Edit, choose Edit recurring template, and turn on End series. Later visits are removed and no new ones are created. Past visits are unaffected.

How do I cancel a visit?

Open it and choose Change status → Canceled. Closing the quick actions menu doesn't cancel the visit.

What's the difference between Skip and Cancel?

Skip passes over one visit in a series, and the series carries on. Cancel calls the visit off. Either way the visit stays on its crew's route, marked Skipped or Canceled, so everyone can see it was planned and deliberately not done.

I can't find Skip this visit.

It only appears on scheduled or upcoming visits that belong to a series. Find it in the ⋯ menu on the work order's row, or by long-pressing it on the calendar.

Can I get a deleted work order back?

No. Deleting can't be undone. If you might need the record, cancel the visit instead.

How do I get to a job's options on the calendar?

Long-press the job's tile to open the quick actions menu: Edit work order, Assign, Convert to invoice, Delete and more. A regular tap opens the work order. For blocked time, long-press the block to Update or Remove it.

How do I move a job to another day?

Open it and tap Edit, or change Starts on its stop card in Routes. Dragging jobs around the calendar is available on the web.

Why can't I pick some crews for blocked time?

Blocked time belongs to a crew's route, so only crews with a route that day are listed. Create a route for the crew first.

I changed a block and it changed for other crews too.

That block is shared by several crews. Changes apply to every crew it's on.

Can I invoice several work orders at once?

Yes. Select them and choose Convert to invoice. Across several clients, choose one invoice per client or one per work order. Either way you get drafts to review before sending.

Can I invoice work that isn't finished?

Yes, after a confirmation that it isn't completed yet.

How do I find the invoice a work order was billed on?

Choose View converted invoice from the work order's ⋯ menu.
