Find answers to common questions about leads vs. clients, adding properties and contacts, notes, search and filters, and what you can create for each customer.

Leads and clients

What is the difference between a lead and a client?

A lead is a potential customer you have not worked with yet.

A client is a customer you have already serviced.


Does Duranta support residential and commercial customers?

Yes. Both leads and clients can be Residential or Commercial.


How do I create a new client or lead?

  1. Open Clients or Leads.

  2. Select Add client or Add lead.

  3. Choose Residential or Commercial.

  4. Enter the account details.

  5. Save.


How do I turn a lead into a client?

Use Convert to client on the lead.

You can also convert multiple leads at once by selecting them in the list and using the bulk convert action.

When a lead is converted, its existing information comes with it, including:

  • Properties

  • Proposals

  • Notes

  • Contacts


Can commercial leads and clients have multiple contacts?

Yes. Commercial accounts can have multiple contacts, but only one can be the Primary contact.

To change the primary contact, set another contact as primary.

Duranta does not allow you to remove the last primary contact without selecting another one.


What happens if I switch a commercial account to Residential?

All contacts excepts the primary one on the commercial account are removed.

This cannot be undone, so Duranta warns you before making the change.


Account owners, filters, and bulk actions

What is an Account Owner?

An Account Owner is the team member responsible for managing a client or lead.

It helps your team see who is responsible for that account and its follow-up. The assigned owner appears in the Clients, Leads, Properties, and Proposals lists.

If no one is assigned, Duranta shows Unassigned.


Can I assign someone to an account?

Yes. Each account can have an Account Owner.


Can I assign an owner to several accounts at once?

Yes.

  1. Select the accounts in the list.

  2. Choose Assign owner.

  3. Select the owner.

Duranta confirms how many accounts were updated.


Can I search or filter clients and leads?

Yes. Use search at the top of the list, or select Filter accounts.

Available filters include:

Filter

All clients / All leads

All accounts, including archived accounts

Active clients / Active leads

Accounts that are not archived

Archived clients / Archived leads

Archived accounts only

Chat leads

Leads created through Aidan Chat

Does search include notes?

Yes. Global search can find information inside notes, as well as names, addresses, and properties.


What bulk actions can I use?

You can select multiple accounts and perform actions such as:

  • Assign owner

  • Archive

  • Unarchive

  • Convert leads to clients

  • Delete

After a bulk action, Duranta reports how many items succeeded.


Archiving and deleting

What is the difference between archiving and deleting?

Archiving removes an account from the active list while keeping its information.

Use archiving for customers you are no longer actively working with.

Deleting permanently removes the account and its related information.


What happens when I delete an account?

Deleting an account also deletes related information, including:

  • Proposals

  • Properties

  • Invoices

  • Notes

  • Commercial contacts

This cannot be undone.

Archive the account instead unless you are certain you want to permanently remove it.


What happens when I delete a property?

Deleting a property also deletes its related:

  • Proposals

  • Measurements

  • Notes

This cannot be undone.


Properties

Can I add properties to a lead or client?

Yes. Both residential and commercial accounts can have multiple properties.


Can I edit a property location while adding it?

Yes. Long-press the map to move the property location.

On the confirmation page, you can also draw or adjust the lot boundary before saving.


What if a property covers more than one parcel?

Select each parcel on the map.

Duranta combines the selected parcels into one property boundary.


Duranta says a duplicate property was found. What does that mean?

The property address already exists in your workspace.

You can open the existing property, or choose Create duplicate property if you intentionally need another record for the same address.


Can I choose the imagery before creating a property?

Yes. On the property confirmation page, use Change imagery source to choose the aerial capture before creating the property.


Notes, photos, and communication

Can I add notes to a client or property?

Yes. You can add:

  • Client notes

  • Lead notes

  • Property notes

  • Property annotations

  • Photos attached to notes


Why do I need to choose a client before adding a property note?

Property notes are connected to a client in Duranta.

If the property is not linked to a client yet, Duranta will ask you to select an existing client or create a new one before you add the note.


Can I contact a lead or client from Duranta?

Yes, when the account has a phone number or email address.

In the mobile app, you can:

  • Call

  • Text

  • Email

On the web app, you can send email.


Proposals and invoices

What can I create for a lead or client?

You can create:

  • Proposals with maintenance services

  • Proposals with install services

  • Invoices

These are available for both leads and clients.


What can I do from the lead or client details page?

The lead or client details page is the main workspace for that customer.

From there, you can:

  • Add and view client, lead, and property notes

  • Create, view, and manage proposals

  • Create and view invoices

  • View and update property details

  • Open the property address in a map app

  • Edit the property address

  • View or change the Account Owner
