Scheduling: Work Orders and the Calendar

Use Scheduling to turn sold work into scheduled jobs with a date, time, crew, and duration.

You can manage work orders from the list, calendar, or routes view, then track what is scheduled, completed, skipped, canceled, or ready to invoice.

Where to find Scheduling

Open Scheduling from the left sidebar.

Scheduling has three tabs:

View scheduled work by day, week, or month.

All scheduling times are shown in your company’s time zone.

You can set your company time zone in Account Settings.

What is a work order?

A work order is one visit to one property.

It includes who the work is for, where it happens, when it is scheduled, how long it should take, which crew is assigned, and what work needs to be done.

You can create a work order from the Work orders tab or directly from the calendar by clicking an empty time slot.

A work order can include:

  • Work order number

  • Client and location

  • Work order date

  • Start time

  • Job duration

  • Status

  • Services

  • Crew

  • Materials

  • Equipment

  • Notes and images

Work order number

Duranta assigns a work order number automatically.

You can also use an optional prefix, such as WO.

The work order number can be edited.

Job duration

Job duration supports different units, including:

  • Minutes

  • Hours

  • Days

  • Weeks

  • Months

Durations can include decimals, except when the unit is minutes. For example, you can enter 1.5 hours.

Work order statuses

Status

Meaning

Unscheduled

The work order does not have a date yet.

Scheduled

The work order has a date and is ready to go.

Upcoming

A future visit in a recurring series.

In progress

The work is currently being done.

Completed

The work is done.

Canceled

The visit was called off.

Skipped

This visit was skipped, but the recurring series continues.

You can change the status from a work order’s menu.

You can also update statuses in bulk from the Work orders list.

Recurring work orders

Use Make recurring when a work order repeats.

Recurring options include:

Frequency

Repeats

Daily

Every day

Weekly

Every week

Biweekly

Every 2 weeks

Monthly

Every month

Yearly

Every year

Custom

A custom repeat pattern

Calendar

Only on specific dates you choose

After you choose a schedule, Duranta writes the recurrence back to you in a summary sentence.

For example:

Work orders are scheduled every 2 weeks, starting 14 April.

Review this summary before saving to make sure the pattern is correct.

End date

Add an End date if the work should stop at a known time.

Duranta adds the end date to the schedule summary:

The schedule ends on {date}.

If you leave the end date blank, the recurring series continues indefinitely.

The first visit uses the status you set. Future visits are created as Upcoming.

Custom recurring schedules

Choose Custom to create your own repeat pattern.

You can set:

  • Repeat every — choose the interval and unit, such as every 3 weeks or every 2 months

  • On these days — for weekly schedules, choose specific weekdays

For example, you can create one recurring work order that repeats every week on Monday, Wednesday, and Friday.

Calendar recurring schedules

Choose Calendar when the work does not follow a regular pattern.

Use this for seasonal visits or a specific list of agreed dates.

To use Calendar scheduling:

  1. Choose Calendar.

  2. Click Add date.

  3. Add each visit date.

  4. Review the selected dates.

  5. Save.

Duranta requires at least one selected date.

If no dates are added, Duranta shows:

Add at least one date for this work order to repeat on.

Monthly schedules

Monthly schedules repeat on the same day of the month.

If you choose a date that does not exist in every month, such as the 31st, Duranta schedules shorter months on the last day of the month.

Duranta explains:

If a month doesn’t have 31 days, the work order is scheduled on the last day instead.

Skip, cancel, or end a recurring series

For recurring work orders, you can skip one visit or end the whole series.

Action

What happens

Skip this visit

Skips one occurrence. If it is on a route, it stays there marked as Skipped.

Cancel

Cancels the visit and removes it from its route.

End series

Stops future visits. Past visits are not affected.

The practical difference is:

Skip stays on the route. Cancel comes off the route.

When ending a series, you can choose whether to skip the current visit or keep it scheduled.

Duranta explains:

No future visits will be created. Past visits are unaffected.

Reschedule a work order

Use Reschedule from the work order’s menu.

Before saving, Duranta explains what will happen.

For example:

{crew} has a route on {date} — the job will join it.

Or:

No route on {date} — the job moves to Unassigned.

For recurring work orders, Duranta also warns you if the series already has a visit on that date.

Work orders list

The Work orders table shows:

  • Work order number

  • Client name

  • Property

  • Service date

  • Start time

  • Assigned crew

  • Recurring status

  • Status

  • Updated at

You can search across the table.

You can also select multiple rows and take bulk actions.

Bulk actions include:

  • Assign crew

  • Change status

  • Convert to invoice

  • Delete

If you assign a crew and that crew does not have a route on that day, Duranta creates a route automatically.

If you cancel work orders that are already on routes, Duranta warns you first:

Cancelling removes {count} work orders from their routes. Continue?

Deleting work orders is permanent. If selected work orders are on routes, Duranta tells you before deleting.

Convert work orders to invoices

Select completed work orders and choose Convert to invoice.

If you select multiple work orders across different clients, you can choose how invoices are created:

Option

What it does

Merge into one invoice per client

Combines each client’s selected services and notes into one invoice.

Create separate invoices

Creates one invoice per work order.

Duranta creates draft invoices so you can review them before sending.

If a work order is not marked Completed, Duranta asks you to confirm before billing it.

Calendar views

The Calendar tab has three views:

View

What it shows

Month

The month at a glance, with counts per day and unassigned jobs.

Week

Each crew’s week, scheduled and completed counts, and an Unassigned row.

Day

Routes by hour, blocked time, job duration, and the current time line.

Day view:

Build the day by dragging

In the calendar, you can drag work to schedule and adjust it.

You can:

  • Drag a job onto a crew’s route to assign it

  • Drag a job to another route to move it

  • Drag a job off a route to make it unassigned

  • Drag the edge of a job to change its duration

  • Click an empty time slot to create a work order or add blocked time

After moving a job, Duranta confirms the change.

For example:

{work order} moved to {crew}’s route at {time}.

If you drop a job outside the crew’s route hours, Duranta warns you:

This job is outside the route’s hours

Block time

Use blocked time for time that is not a job, such as lunch, fuel stops, shop time, or equipment pickup.

Blocked time includes:

  • Label

  • Start time

  • End time

Blocked time belongs to a crew’s route. It cannot be dropped into the Unassigned column.

Blocked time appears in day and week views and can be dragged in either view.

Show or hide schedule items

Use the View menu to control what appears on the schedule.

You can show or hide:

  • Cancelled visits

  • Skipped visits

  • Archived routes

Hidden items are counted on the View button, so you can tell when something is hidden.

Share a work order

Use Preview to see the customer-facing version of a work order.

From Preview, you can:

  • Use Preview as customer

  • Print the work order

  • Share the work order link

When you share a work order, Duranta publishes a link you can copy.

If you edit the work order after sharing it, the recipient may see:

There is a newer version of this work order

They can use the link to open the latest version.

Activity

Each work order keeps an activity log.

Activity can include:

  • Created

  • Updated

  • Status changes

  • Crew assignments

  • Reschedules

  • Duration changes

Duranta also records where each change was made, such as:

  • Day calendar

  • Week calendar

  • Board

  • Map

  • Work orders list

  • Route dialog

This helps your team understand when and where schedule changes happened.
