Scheduling: Work Orders and the Calendar: FAQ

Find answers to common questions about creating work orders, scheduling crews, managing recurring jobs, and using the calendar in Duranta.

Where do I find Scheduling?

Open Scheduling from the sidebar. It has three tabs:

  • Work orders: a table of all your jobs.

  • Routes: each crew's day as a board or a map. A route is one crew's jobs for one day.

  • Calendar: month, week and day views.

What is a work order?

A work order is one visit to one property. Duranta numbers each work order for you; you can add a prefix, such as WO, and edit the number if needed.

A work order can include:

  • Client and property

  • Date and start time

  • Job duration

  • Status

  • Services

  • Crew, with its members and equipment

  • Materials

  • Notes and images

How do I create a work order?

From the Work orders tab, or from the calendar: click an empty time slot and choose Create work order at that time.

Why does the Work orders table only show this month?

The table opens filtered to this month's work orders. To see others, change or clear the Service date filter in the column header. Choose Custom to set your own From and To dates.

How do I set the job duration?

Enter a number and choose a unit: minutes, hours, days, weeks or months. You can use decimals, such as 1.5 hours, except when the unit is minutes.

Which time zone does Scheduling use?

Your company's time zone. The Scheduling header shows the city and time zone, such as Chicago · CDT; hover over it for the full description. You can change the time zone in Account Settings.

What do the work order statuses mean?

  • Scheduled: the work order has a date and is ready to go.

  • Upcoming: a future visit in a recurring series.

  • In progress: the work is being done.

  • Completed: the work is done.

  • Invoiced: the invoice for this work has been sent. Duranta sets this when an invoice converted from the work order is sent.

  • Canceled: the visit was called off.

  • Skipped: this visit was passed over, and the recurring series carries on.

How do I change a work order status?

Open the work order's … menu and choose Change status. To change several at once, select them in the Work orders table and choose Change status.

How do I make a work order recurring?

Turn on Make recurring, then choose a frequency: Daily, Weekly, Biweekly (every 2 weeks), Monthly, Yearly, Custom (a pattern you set) or Calendar (only on dates you pick).

Duranta shows the schedule as a plain-English summary before you save, for example: Work orders are scheduled every 2 weeks, starting 14 April. Check it matches what you meant.

Can I set an end date for a recurring work order?

Every series has one. Duranta fills in an end date 364 days after the first visit, and the summary adds, for example, The schedule ends on 13 April.

You can change it to an earlier or a later date, but you can't remove it. A series can have up to 365 visits, so how far out the end date can go depends on the frequency: about a year for a daily job, around seven years for a weekly one. Past that, Duranta shows A series can have at most 365 visits. Pick an earlier end date.

How do Custom recurring schedules work?

Choose Custom and set Repeat every to a number of days, weeks or months. With weeks, you can also pick days under On these days. For example, one recurring work order can repeat every week on Monday, Wednesday and Friday.

What if my work doesn't follow a regular schedule?

Choose the Calendar frequency (not the Calendar tab), then use Add date for each visit. Your dates appear under Selected dates with a count. Add at least one date.

What happens if I schedule a monthly job for the 31st?

In months without that date, the visit is scheduled on the last day of the month, for example 28 February.

What status do later visits in a series have?

The first visit uses the status you choose. Every later visit is created as Upcoming. Duranta creates all the visits as soon as you save, so they show in the table and on the calendar straight away.

How do I change the whole series?

Open one of its visits and click Edit recurring template. The recurring template is the schedule and details every visit in the series is made from. Saving it rebuilds the upcoming visits, so changes made to individual upcoming visits are replaced. To change only one visit, edit that work order instead.

What is the difference between Skip and Cancel?

Skip: this visit isn't done, but the series carries on. Cancel: the visit is called off. Both stay on the crew's route, marked Skipped or Canceled, so everyone can see what was planned. You can hide them with the View menu on the calendar.

On the Day calendar or the Routes board, hover over a job and open its ⋮ menu to find Skip this visit and Cancel.

How do I end a recurring series?

Hover over one of its visits on the Day calendar or the Routes board, open the ⋮ menu and choose End series. Choose whether to also skip this visit or keep it scheduled.

Later visits are removed and no new ones are created. Past visits are not affected.

What happens when I reschedule a work order?

Duranta tells you what will happen before you confirm the new date, for example Green Crew has a route on 20 May — the job will join it. or No route on 20 May — the job moves to Unassigned.

For a recurring work order, Duranta also warns you if the series already has a visit on that date.

Can I update several work orders at once?

Yes. Select rows in the Work orders table, then choose:

  • Assign: one crew for all of them. If the crew has no route on a job's day, Duranta creates the route.

  • Change status: the same status for all of them.

  • Convert to invoice: across several clients, choose Merge into one invoice per client or Create separate invoices. Either way you get draft invoices to review before sending.

  • Delete: see below.

Can I invoice work that isn't completed?

Yes, but Duranta asks you to confirm first, so unfinished work isn't billed by mistake.

What happens if I delete a work order?

It's removed for good, including from its route. Deleting can't be undone. Before you confirm, Duranta tells you how many of the selected work orders are on routes. If you might need the record, cancel the visit instead.

Why did a route appear that I didn't create?

Assigning a crew to a job on a day when that crew has no route creates the route automatically.

Can I add blocked time from the calendar?

Yes. Click an empty time slot and choose Add block. Blocked time belongs to a crew's route, so it can't go in Unassigned.
